How do we set entry fees?

NSW Rogaining is a not for profit, member based, organisation. Our fees are set for each event with the following principles in mind:

  • Overall the organisation aims to break even in the long run. Fees are set to ensure that at the end of each year the organisation has enough in reserve to fully fund the next couple of events.
  • Each event is aimed to make a small surplus after all costs. This surplus then helps partially fund the State Championship.
  • Fees for each event are set before participant numbers and are based on known expenses and expected numbers.
  • Children under 14 years of age are free and concession entries are typically given a 30-40% discount.
  • There is a spreadsheet here that organisers use to anticipate income and expense for each event and set prices.
  • All entry fees are  approved by the Association’s Treasurer.

Closing Date for Entries

Each event will have a set closing day, typically midnight of the Monday before the event.  At the organisers discretion entries may be left open after that date but a “late fee” will generally be added to the cost.

Refunds

If for some reason you find you need to withdraw after paying your entry, you may be granted a refund.  The amount refunded will be the full amount prior to the Monday Midnight before the event. No refund will be given after this date as funds have already been committed.,

Rewarding of Volunteers through free entry or training

In January 2010, NSWRA introduced a policy aimed at providing an incentive for volunteering and to recognise volunteers.

Volunteers who have made a major contribution to an event and forgone the opportunity to participate will be offered free entry to a NSWRA organised Rogaine, or a contribution to training.

Cancellation of an event

An event may be cancelled at the last minute due to a range of unexpected or uncontrollable circumstances. Prior to pandemic restrictions 2020-21 this rarely happened, but if it does please do not expect a refund. Most of the costs of creating the event will have already been spent or committed.
